Definitions
"The Club" and "Ski Club" refer to the YHA Cross Country Ski Club (Victoria), and includes its officers, servants, licensees, invitees, customers or agents (including voluntary leaders).
"YHA" (on its own) refers to YHA Ltd (trading as YHA Australia), its officers, servants, licensees, invitees, customers or agents (including voluntary leaders).
"Event Organiser" refers to a club member who is organising or running a particular event or ski trip. An event organiser may also be a trip leader.
"Trip Leader" refers to a person who is leading a group of skiers on the snow. A trip leader may or may not be the event organiser.
"Personal Information" consists of information relating to you personally, and may include name, email address, phone number, date of birth, home/work address, your photograph where your identity is clear, your bank details, and IP address.
"Personally Identifiable Information" is any data that can be used to distinguish or trace your identity, either on its own or when combined with other linked data. For example: full name or passport number; not date of birth on its own.
"Sensitive Personal Information" refers to Personal Information that needs to be treated with a higher level of protection. For example: Health information, racial or ethnic origin, political opinion, religious beliefs, criminal records, sexual orientation.

Website Privacy Notice
This Privacy Notice pertains to your usage of this website. There is a separate Privacy Notice pertaining to events hosted by The Club and how The Club handles your Personal Information.
Some components of this website may be hosted by third parties, and those components may gather your Personal Information.
Specifically:
Google Sites and Google Analytics may record your IP address.
The Online Query Form on our website records your IP address, and information you specifically provide - ie. your name, email address, and any information you enter into the Query box. This information may be forwarded to the Event Organiser, Trip Leader, Ski Club Committee and/or Ski Club webmaster. The information you specifically provide on this form does not get sent to Google Sites or Google Analytics.
We use MeetUp to provide information about our events and to accept bookings/reservations. To use Meetup to book onto a trip or attend an event, you must sign up to MeetUp and agree to their Terms and Conditions. When you click the Attend button on Meetup for one of our events, the event organisers, who are members of The Club, will be able to see your details as provided by Meetup.
For some trips, we provide a link on MeetUp to a questionnaire or form that we require you to complete as part of the booking process. This information will be passed by the form hosting site to the event organiser. This questionnaire is necessary to assist The Club in assessing skiing ability, organising car pooling, recording emergency contact details, and being aware of any health conditions you may have.
The Club, its event organisers and trip leaders will treat your information confidentially, however, there are circumstances where your information will need to be shared within the club or to emergency services:
The Club may need to provide your name and contact details to other participants for the purposes of Car Pooling. This will generally be name, phone number and/or email address, but may include your home address if you are driving or require being collected on the way. In most cases, however, we provide the driver's name, email address / phone number to passengers, who are then required to contact the driver, and the driver would need to provide the address they are leaving from.
The event organisers may also need to provide your details, including details of your emergency contact(s) and any health conditions, to other leaders on the trip.
In the event of an emergency, your details may be shared with ambulance services, police, ski patrol, or resort management.
